As a luxury travel advisor, I've had to fight for my clients in every imaginable way. Some travel requests arrive neatly packaged with timelines, preferences, and plenty of runway, while others arrive like a flare shot into the sky.

Last-Minute Super Bowl Trip: Thirteen Days and Counting

This one landed exactly thirteen days before the Super Bowl — on a Wednesday evening, when most agents had already closed their laptops for the night.

The request came from someone introduced to me through a trusted associate in my network. Her message was urgent and direct, looking for someone who could make the impossible happen: finding last-minute Super Bowl accommodations for her family.

To be clear, luxury hotels near Santa Clara two weeks before the Super Bowl were effectively nonexistent to the public. Why? Because Super Bowl hotel bookings sell out months in advance, and rates — if visible at all — are eye-watering. Luxury sports travel packages had long since sold out. The remaining inventory was held for league partners, preferred relationships, and a very small circle of trusted luxury travel advisors.

This is where travel is no longer about searching online and starts being about real life access—which is exactly what a real-life travel advisor has.

This particular request was for a HNW family attending the Super Bowl for the very first time, with expectations that the experience would be seamless, elevated, and worthy of the money and the moment. This is where travel stops being about searching online and becomes about real-life access—exactly what a luxury travel advisor provides.

Preferred Hotel Partnerships Secured Their Super Bowl Booking

Knowing I'm one of the few travel agents who is preferred partners with Four Seasons, I picked up the phone and called Four Seasons Silicon Valley at Palo Alto and had a real conversation. The kind of conversation that only works when trust has been built over time and both sides understand the level of service an event of this magnitude demands.

Within hours, rooms surfaced that were not publicly available.

From One Booking to a Fully Curated Luxury Travel Experience

From there, the Super Bowl travel planning moved quickly. Thoughtful arrival logistics, privacy considerations, and personalized details were arranged to ensure the stay was effortless. Private drivers escorted the guests to their elegant accommodations, where a suite awaited them with personalized amenities and coveted dinner reservations already secured.

I'd briefed the hotel on this client profile, as is my routine, so they were greeted by name upon entering and escorted — with the kids' favorite snacks and a Super Bowl exclusive amenities — to their suites upon check-in.

Four Seasons Hotel Silicon Valley at Palo AltoQuattro, the hotel's signature restaurant, with its sculpted sandstone walls and burnished leather banquettes, set the stage for a pre-game evening the family would never forget.

All these clients had to do for this last-minute Super Bowl trip was show up.

To elevate the experience further, I brought in our Director of Concierge Services to take this from a confirmed booking to a fully curated Super Bowl experience. We didn't just book them a hotel; we arranged game-day transportation, pre- and post-event planning, and on-the-ground concierge support that anticipated their needs before they were ever voiced.

The family went from thinking they might not be able to attend at all to not needing to lift a finger in their planning process.

The only thing left unknown was which team would be holding the trophy when the confetti fell.

I work frequently with families and groups to arrange travel around their favorite sports events. Whether you need a trackside yacht for the Formula 1 Monaco Grand Prix or a travel package that follows your team through the entire FIFA World Cup, my fellow agents and I have the resources to find the exact solution you're looking for.
